Workflow Rules

Workflow rules (or automation rules) automatically execute actions in Zoho CRM when an event occurs on a record. They are displayed in read-only mode in Zepiq.

Accessing the page

Go to Automation → Workflow Rules (?tab=workflow-rules).

Structure of a workflow rule

ElementDescription
TriggerThe event that activates the rule (create, edit, delete, date)
ConditionsCriteria the record must meet to trigger the rule

Trigger types

  • Record creation — activates when a new record is created
  • Record modification — activates when a specific field is changed
  • Creation or modification — activates in both cases
  • Date-based — activates X days before or after a date (e.g., deal closing date)

Available action types

  • Send an automatic email
  • Create a task or reminder
  • Update a record field
  • Call a webhook (notify an external system)
  • Trigger a Zoho custom function

Displayed columns

ColumnDescription

What's the difference with cadences?

Workflows react to one-time events (creation, modification). Cadences are time-scheduled sequences (Day 1, Day 3, Day 7…) for nurturing or commercial follow-up.

Frequently asked questions

An active rule is not triggering: check that the conditions are met and the module is correct. Review execution logs directly in Zoho CRM.

How do I enable or disable a rule? Rules are managed directly in Zoho CRM. Zepiq displays their state in read-only mode — status updates on the next cache reload.

The count of active rules seems wrong: click Refresh to resynchronize the cache from Zoho CRM.

Can I create a rule from Zepiq? No. Creation and editing must be done in Zoho CRM. Zepiq provides a consolidated view to monitor and audit your existing rules.
